Final Tweaks/Deposit/Subscription sequence for Scheduling

I have everything set up on a play cafe calendar -- several appointment types, forms, T&C, etc. I have several subscriptions/passes set up, too. Here are my questions:

1. How does my owner confirm an appointment when someone shows up (do they scan something, or can they "check off" when the customer arrives)? Basically, how does the café check someone in/confirm they paid when a customer arrives at the cafe (if that customer books online)?

2. Birthday Parties: my client requires a deposit, then the remaining payment two weeks before the party. I have the deposit set up. How doe the client collect the remaining amount for the party from her customer?

3. Subscription/Passes: how do I REORDER the list of subscriptions? I want the "5 Passes" option to show up as the first option? See picture
