Ordering when out of stock , code or ideas ?

Hello, looking for some help on order/inventory management.

We take orders on items we both have in stock and don't. From what I can tell squarespace does not support keeping an inventory in Squarespace yet still taking orders, which is fine, so I have everything set to unlimited inventory.

What I would love to be able to do is take the export from squarespace and import it into something, like perhaps Access, then be able to enter my actual inventory then determine what product I need to order. Presently I am doing this with a Pivot table and a bunch of "getpivotdata" formulas which gets messy, especially when new items come up. Anyone out there have anything that may work for my needs, or do I basically need to try and learn Access to see if I can get what I need.

How extensive is your inventory? ie how many products, and how many variants?

I have roughly 25 items, 10-15 of those having variants like shirt sizing (S-XXL) or color options.

There's not an ideal solution for this scenario and without seeing the site it's difficult to offer specific advice. Here are a couple of ideas.

Rather than unlimited inventory, you may want to consider setting your stock levels to their actual level, plus an arbitrary figure such as 1000. For example, if you have 78 of a particular variant, set the stock level to 1078. When a stock level falls below 1000, you'll know that you cannot meet demand. Importing stock levels into a spreadsheet and subtracting 1000 from each figure, will then instantly show you the negative stock levels and help you replenish stock.

Another option is to set stock levels correctly to prevent backorders. When stock reaches zero, provide the customer with a simple form that emails or texts them when the item is back in stock, encouraging them to order.

I'm looking for a way to list Unlimited Stock so people can order as many as they wish but with a secondary category to show ACTUAL stock locally.

Order now

Local Stock level = 1

External Stock = unlimited.  

Any ideas Welcome.
